Inbound Operations Coordinator

At TFS, "Uniquely You" meets "Powerfully Us", where your individuality strengthens our collective mission.</p> <p>&nbsp;</p> <p><strong>This position reports to the Inbound Division Lead</strong></p> <p><strong>Purpose of the role</strong>: To provide comprehensive administrative and operational&nbsp;support for delivery operations, ensuring 99% on-time, in-full&nbsp;customer deliveries through effective route optimization, real-time monitoring, and meticulous data management. This role&nbsp;focuses on maintaining operational excellence by tracking key&nbsp;performance indicators, managing costs and compliance, and&nbsp;providing accurate reporting to support decision-making while&nbsp;ensuring all administrative processes meet company standards&nbsp;and quality requirements.</p> <p><strong>Your responsibilities can include:&nbsp;</strong></p> <ul> <li>Supporting the department across all required administrative and coordinative functions and duties in line with SOPs, policies, &amp;amp; procedures.</li> <li>Supporting the customer service &amp;amp; buying teams in&nbsp;resolving:</li> <li>Customer order queries;</li> <li>Complaints and associated resolution, including root cause analysis;</li> <li>Supplier delivery issues &amp;amp; queries.</li> <li>Ensuring customers receive their orders on time, according&nbsp;to expectations, and that they are proactively updated and&nbsp;communicated to on the status and any changes to their&nbsp;orders.</li> <li>Management of all assigned Inbound queries</li> <li>Processing created purchase orders on time, tracking&nbsp;these orders, and managing suppliers and delivery to&nbsp;ensure stock availability and delivery date.</li> <li>Continuous follow-up on all orders to identify unconfirmed and late shipments impacting customer orders.</li> <li>Managing IBTs, responding to stock availability &amp;amp; supplier delivery issues and liaising with the distribution centers to ensure customers receive orders on time.</li> <li>Communicate and manage relationships with LSP, suppliers, and vendors regarding shipment status, providing timely updates to internal teams.</li> <li>Verification of International shipping documentation</li> <li>Coordinating and tracking shipments from multiple points of origin to final destinations.</li> <li>Managing International Supplier non-conformance</li> </ul> <p><strong>Qualifications and experience:</strong></p> <ul> <li>Matric</li> <li>Relevant tertiary qualifications a plus</li> <li>At least 1 year relevant industry experience</li> <li>Competency in MS Office packages</li> <li>Relevant tertiary qualifications a plus</li> </ul> <p><strong>Attributes required :</strong></p> <ul> <li>Solutions-oriented, can-do attitude; self-motivated</li> <li>Strong organizational &amp;amp; prioritization skills</li> <li>Attention to detail</li> <li>Excellent communication skills, both written and spoken</li> <li>Ability to interact with internal &amp;amp; external stakeholders at all&nbsp;levels.&nbsp;</li> <li>Comfortable with change and an excellent team player</li> <li>Comfortable with learning and adapting to new systems</li> </ul> <p><strong>Why Join TFS:</strong></p> <ul> <li><strong>Purpose-driven impact</strong>: Transform lives through logistics innovation</li> <li><strong>Advanced technology: </strong>Work with cutting-edge systems in a fast-paced environment</li> <li><strong>Career growth: </strong>Thrive in an agile space that champions continuous improvement</li> <li><strong>Inclusive culture</strong>: Your unique perspective drives extraordinary results</li> </ul> <p>At TFS, your growth is our growth.
